How to manage your vehicle compliance

This article is written to help understand our to manage your companies vehicle compliance. It requires that you have the service and compliance package

"Notify me when my vehicles need a new Rego and WOF and create a Report each week to manage RUC licence purchasing"

Step 1: Create a notification when a WOF needs booking

  1. Click on the Workflow tab
  2. Name the workflow and add a description on the left hand side of the workflow canvas
  3. Click Event
  4. Click and hold down your mouse on the Schedule Event and drag it across in to the workflow canvas.  Let go of the mouse button to release
  5. Double click the Schedule Event icon or click 

  1. Select the Active Days (the days) and Trigger Time (the time of day(s) you would like to send the notification.
  2. Select the vehicles that will trigger the workflow by dragging the vehicle(s) or groups of vehicles in to the right hand box.
  3. Click Update
    Click Condition
  4. Click and hold down your mouse on the License Event and drag it across in to the workflow canvas.  Let go of the mouse button to release
  5. Double click the License Condition icon or click 

  1. Select WOF/COF expires in between (days) in the Option dropdown box
  2. Enter the minimum and maximum days due between in the text boxes
  3. Click UPDATE
  4. Add notifications, conditions and logic as required.  For example, create an email alert.

Step 2: Modify the workflow to include registration renewal reminders

  1.  Drag in the License

icon from the Conditions toolbox and drop it on top of the schedule icon

  1. Double click the License Condition icon or click 

  1. Select Reg Licence expires in between (days) in the Option dropdown box
  2. Enter the minimum and maximum days due between in the text boxes. For example between 5 and 7 days.

  1. Click UPDATE
  2. Add notifications, conditions and logic as required.  For example, create an email alert.

Step 3: Create a report on WOF, COF, REGO and RUC 

  1. Click on the Reports tab
  2. Expand Static Reports
  3. Click on the report called Vehicle Report in Static Reports
  4. Add the vehicle(s) or vehicle groups you wish to report on by dragging the green vehicle boxes in to the right box.  Refer to How to create a group of vehicles if you need to create custom groups
